Understanding the Differences Between Numbers and Licences

In Onoff Business, you manage both phone numbers and licences. While they’re closely related, they are not the same, and knowing how they work together will help you optimize your telecom setup and control costs effectively.

Role of a Phone Number

A number is the virtual phone line assigned to an employee. It allows them to:

  • Make and receive calls
  • Send and receive SMS/MMS, depending on the country (not available for landline numbers)

Each number has a country and a type (e.g., mobile or landline).

Purpose of a Licence

A licence is the right to assign a number. You cannot assign a number without an available licence.

Think of it this way: The licence is the key and the number is the door it unlocks

Interaction Between Numbers and Licences

Scenario What happens?
Assign a new number One licence is consumed
Delete a number The licence becomes reusable
Reassign a number to another user You keep using the same licence, no new licence needed
No licences available a new license is automatically purchased in parallel and added to your account. during number assignment

Note: You can assign and delete multiple numbers over time using the same licence, but only one number per licence at a time.

Important: Before assigning a number, for better clarity, especially regarding billing, go to Manage Product → Licenses. There, you can see all your available and assigned licenses. You can add any licenses you need before assigning them, or remove licenses directly from this page.

Licence Billing and Renewal

Licences renew automatically based on your selected billing frequency (monthly or yearly), not per number assignment.

If you delete a number but don’t remove the licence, it remains active and billed until manually cancelled.

Example of Licences in Use

Account setup:

  • 3 licences
  • 2 assigned numbers
  • 1 unassigned licence

If you need to assign a number to two employees, you can assign the first number at no extra cost. For the second number, you’ll need to purchase an additional license, either during the number assignment or directly from Manage Product → Licenses.

Managing Licences Efficiently

  • Add or remove licences from Billing settings
  • Monitor licence usage from the Administration Console
