Managing your team on Onoff Business is simple. Here’s everything you need to know about adding, updating, or removing users and their phone numbers.

What is a user?

A user is a member of your organization who can access the Onoff Business platform.

  • Users log in with their own credentials.
  • They can manage calls, messages, voicemail, and settings based on their role and assigned numbers.
  • A user can be assigned one or multiple Onoff phone numbers.

Adding a User

  1. Log in to the Administration interface.
  2. Go to Manage Team then Members
  3. Select Create member on the right Screenshot 2
  4. Enter the user’s details: First name, Last name, Email, Role, and Department (if it exists; if not, create the department first see Create a department if you need help). Screenshot 3
  5. Select the user’s role (Admin, or User and soon you will be able to select Team Lead). Screenshot 4
  6. Confirm.

Once added, the user automatically receives an email with a temporary password to log in immediately.

Deleting a User

  1. Go to Manage Team then Members
  2. Select the user you want to remove. Screenshot 5 / Screenshot 6
  3. Click on 3 dots on the right and select “Delete employee” Screenshot 7
  4. Confirm the deletion Screenshot 8

Note: Deleting a user frees up the license, which can be reassigned to another employee with another number.

Important:

  • Adding or deleting users is free.
  • Billing is based only on the number of licenses available (assigned or not) in your account.

Changing a User’s Email Address

  1. Go to Manage Team then Members.
  2. Select the user and open User Details. Screenshot 5 / Screenshot 6 Screenshot 9
  3. Hit “Edit” Screenshot 10
  4. Update the email address and save.

The change takes effect immediately.

Adding a Phone Number to a User

  1. Go to Manage Team then Members.
  2. Select the user Screenshot 5 / Screenshot 6
  3. Open the Numbers tab and click Add. Screenshot 11
  4. Choose an available number from your number pool and confirm Screenshot 12

Note : You can also assign a number from the Licenses page (Manage product > licence > assign licence) : If no license is available, you will need to purchase one first (Manage product > licence > purchase licences).

The number becomes active for the user instantly once a license is assigned.

Deleting a Phone Number from a User

  1. Go to Manage Team then Members and select the user Screenshot 5 / Screenshot 6
  2. Open their list of assigned numbers (Numbers tab).
  3. Click on 3 dots on the right next to the number and hit “Delete number” Screenshot 13
  4. Confirm the deletion.

Note: Deleting a number frees up the license, which can be reassigned to a new number.
