Onoff Business × CRM Integration Guide
Integrating Onoff Business with your CRM brings all your communication data directly into your system, automatically and reliably. This guide answers the most important questions in a clear, structured format so your team can set up the integration quickly and get the most value from it.
The Onoff Business × CRM integration automatically logs all mobile interactions, including calls, SMS, and voicemails, into your CRM. This eliminates manual data entry, improves reporting accuracy, and ensures your team always has a complete communication history.
The integration is available on Onoff Business Advanced and Max plans, and installation only takes a few clicks.
Requirements
Before installing the integration, you’ll need:
- Admin access to both Onoff Business and your CRM (HubSpot is used as an example)
- Or the email address of your CRM admin to authorize access
Setting up the integration is simple and only takes a few minutes.
Installation and Initial Setup
Step 1: Start the integration
From your Onoff Business Administration interface:
- Open Integrations & API on the main page
- Select your CRM (search bar available for convenience, e.g., HubSpot)
- Click Integrate
Step 2: Authorize your CRM account
You’ll be redirected to your CRM to:
- Select your account
- Grant the required permissions
- Confirm the connection
Step 3: Connect Onoff numbers
After authorization, choose which numbers to integrate:
- Filter numbers by department
- Add or remove all numbers at once
- Select specific numbers manually
Once confirmed, the integration becomes active immediately. You can return anytime to add or remove users, disable the integration, or adjust settings.
Integration Settings and Configuration
The integration includes flexible settings that let you control exactly what gets synchronized. All configuration options are available under: Integrations & API → HubSpot → Settings
User and number management
Easily add or remove Onoff numbers from the integration to ensure only relevant users sync data to your CRM.
Path: Integrations & API → CRM (e.g Husbpot) → Settings → Manage
Timezone configuration
All activity logs follow the selected timezone. Choosing the correct timezone ensures accurate reporting and tracking.
Tip: Select your preferred time zone from the dropdown.
Call and SMS synchronization
Enable automatic syncing for:
- Incoming and outgoing calls
- Missed calls and voicemails
- Call notes, tags, and summaries
- All sent and received SMS messages
Note: Onoff automatically creates CRM contacts for numbers that exist only in your system and exports new or exclusive Onoff contacts whenever you call or text.
Call recordings and transcription
If call recording is enabled, recordings can also be sent to your CRM. Transcriptions allow automatic creation of tasks based on action items (can be turned off).
Important : For Hubspot, If you set up your CRM before November 13th, 2023, uninstall and reinstall the integration to activate call recordings.
Ticket logging
If your team uses CRM tickets, communication logs can automatically attach to relevant tickets.
Important: For Hubspot, If you set up your CRM before October 16th, 2024, reinstall the integration to enable ticket logging.
Automatic integration of new numbers
For teams that frequently add or reassign Onoff numbers, enable the Automatically integrate new numbers toggle. Once active:
- Newly created or reassigned Onoff numbers are automatically added to your CRM integration
- Ensures all team communications are synced without manual setup
Ideal for growing teams or departments with frequent onboarding.
Removing or Reinstalling the Integration
You can remove the integration at any time:
- Go to Integrations & API → CRM → Settings
- Click Remove (red button)
- Confirm
Important: Removing the integration does not delete any data already synced. Past call logs, SMS logs, voicemails, recordings, notes, and tasks remain intact. Reinstalling the integration reconnects the desired numbers.
All integration features, including syncing calls, SMS, voicemails, recordings, and automatic user/number integration—can be turned on or off at any time via the Onoff Business → CRM integration settings panel. This gives your team full control over what data flows into your CRM and when.
